Employee Monitoring Notice (Template)

This page is a template for WorkPulse customers, not a WorkPulse policy. If you are an
employer who uses WorkPulse, you can adapt the text below to tell your workforce what is monitored and to
obtain consent where your local law requires it. Replace the [BRACKETED] fields, remove what
does not apply, and have it reviewed by your own legal counsel — monitoring, notice, and consent rules
vary widely by country and U.S. state (for example, many require all-party consent or advance written
notice, and biometric data carries extra requirements).
Workplace Monitoring Notice
[EMPLOYER NAME] ("the Company") uses WorkPulse, a workforce activity-monitoring tool, on [Company-owned devices / work accounts / specify scope]. This notice explains what is monitored, when, and why.
1. What we monitor
While you are [working / clocked in / using a Company device], WorkPulse may collect:
- activity metrics — counts of keystrokes, mouse clicks, scrolling, and active/idle time (we do not record the actual content you type);
- periodic screenshots of your work screen;
- the names of applications and the titles and website addresses of work windows you have open;
- shift, check-in, check-out, and break times;
- [ENABLE ONLY IF USED] webcam snapshots and/or screen recordings. Remove this line if your Company does not enable these features.
2. What we do not monitor
- the content of your keystrokes, files, or personal messages;
- activity on your personal devices, or outside [working hours / the work scope above];
- [list anything else your Company excludes].
3. Why we monitor
We use this information for [workforce management, productivity measurement, security, timekeeping — edit to match your actual purposes]. We do not use it to [state any limits, e.g. unlawful discrimination].
4. Who can see it and how long we keep it
Access is limited to [authorized supervisors and administrators]. Monitoring data is retained for [retention period] and then deleted.
5. Your rights and questions

Note for the employer: In all-party-consent jurisdictions (several U.S. states and many countries), keep a signed copy of the acknowledgement above. Where you enable webcam or biometric features, additional written consent and a retention/destruction schedule may be legally required. Where the GDPR applies, you may also need a documented lawful basis, a DPIA, and works-council consultation.
